Creating a template

Creating a template is not more complicated than inserting field placeholders in cells.

In a template, you may insert Contact, Company, Group, Opportunity, Product and Variable placeholders (variables refer to the AutoNumber that the add-on can create for you each type you run a template and to today's date which is the date the document was created).

How do I insert field placeholders?

Launch Excel Quote-Invoice Maker II, go to File>New Template or File>Edit Template... and select an existing template. The template opens up in Excel and a ACT! Merge Fields pane will automatically pop up. Select the cell you want to insert a placeholder in, select the type of field you want and the name of the field. Then click the Insert button

Which record is used to filled these placeholders?

It depends on the screen you're launching the merge from:

  • From the Contact Details screen:
    • The contact data will come from the current contact.
    • The company data will come from the company record if the contact record is linked to one.
    • The opportunity data will come from the opportunities of the contact (you'll be prompted to select which one(s) you want to merge).
    • The product data will come from products of the selected opportunities (you are prompted to select which one(s) you want to merge if there are more than one).
  • From the Company Details screen:
    • The company data will come from the current company.
    • The contact data will come from one of the contacts of the company if any (you'll be prompted to choose which one if the company has more than one contact).
    • The opportunity data will come from the opportunities of the company (you'll be prompted to select which one(s) you want to merge).
    • The product data will come from products of the selected opportunities (you are prompted to select which one(s) you want to merge if there are more than one).
  • From the Group Details screen:
    • The group data will come from the current group.
    • The contact data will come from one of the contacts of the group if any (you'll be prompted to choose which one if the group has more than one contact).
    • The company data will come from the selected contact's company if any.
    • The opportunity data will come from the opportunities of the group (you'll be prompted to select which one(s) you want to merge).
    • The product data will come from products of the selected opportunities (you are prompted to select which one(s) you want to merge if there are more than one).
  • From the Opportunity Details screen:
    • The opportunity data will come from the current opportunity.
    • The contact data will come from one of the contacts associated with the opportunity (you'll be prompted to choose which one if there is more than one).
    • The company data will come from the selected contact's company if any.
    • The product data will come from products of the current opportunity (you are prompted to select which one(s) you want to merge if there are more than one).
